Project Overview

Priory Business Park is a multi-tenant commercial estate located in the MK43 postcode area along Bedford's A421 corridor. The site comprises managed office buildings with extensive grassed frontages, ornamental planting, boundary hedging, and shared car parking areas. The previous grounds contractor had been providing inconsistent service with no documentation, leading to tenant complaints and difficulty justifying service charge allocations.

Scope

  • Scheduled grass cutting across all grassed areas (fortnightly, Apr–Oct)
  • Boundary hedge trimming (3 cuts per season)
  • Ornamental bed maintenance including seasonal planting
  • Hard surface weed control (3 herbicide rounds per year)
  • Litter clearance across car parks and pathways
  • Autumn leaf clearance programme (Oct–Dec)

Frequency

Fortnightly visits during the growing season (April to October), monthly visits during winter months. Additional scheduled visits for seasonal tasks including leaf clearance and spring preparation. Total annual visits: approximately 30.

Documentation Process

Every visit generates a timestamped log documenting operative attendance, tasks completed, areas covered, and issues identified. Monthly summary reports are provided to the managing agent for service charge reconciliation. Photographic evidence is included for seasonal works and issue escalation. All RAMS and insurance documentation was provided before mobilisation.

Outcome

Zero missed visits in the first 12 months of contract. Tenant complaints regarding grounds reduced to zero. Service charge documentation accepted without query at annual reconciliation. Contract extended to include a second site within the same estate under identical terms. The managing agent now uses our reporting format as the benchmark for other contractor documentation across their portfolio.
